Registration

The Registration Information for the 6th Geological Society of Trinidad and Tobago, “Rising to the Challenge: Developing Solutions” is available at:

All speakers and poster presenters must register and pay the registration fee shown to attend the conference.  One-day registrations are available if you plan to attend only on the day of your presentation.

No-show Policy

Presenters who fail to show for their scheduled presentations without prior notification to the GSTT Steering Committee of their cancellation, at least five (5) weeks in advance of the start date of the program, will not be allowed to present papers or posters at any GSTT technical conferences for three (3) years and our affiliates will be informed of the sanction applied to said presenter for their information or possible action.

Presentations

The official language for the 6th GSTT Conference is English. Presentations will be run only on MS Windows PowerPoint. For videos please ensure that they are compressed and are of the following formats – mpg and wmv.

Audiences are sensitive to commercial overtones and overuse of corporate logos in scientific presentations. You are advised to employ discretion in this area. Logos on slides are appropriate on the title and summation graphics and should not detract from the scientific message. Advertising and sales promotions in any form are strictly prohibited.

With a few exceptions, presentations are scheduled every 20 minutes. This time includes the introduction, the 15 minute presentation and a 5 minute short question and answer period following your talk. All sessions will be the same time frame, and it is essential that all sessions keep on schedule. Speakers, please leave time for questions within your 20-minute block.

  • Label your presentation – Your Name_6th GSTT_DD/MM/YYYY, File Name. If you are speaking in more than one session, please organize and clearly label your presentations in separate folders.
  • Bring your presentation via USB Storage Device to the Conference Ballroom of the Hyatt Regency, Trinidad.
  • Meet with your Session Chair at your designated Session Room at least 30mins prior to your presentation to copy and review your slides.
  • Focus your presentation on technical content. Advertising and sales promotions in any form (e.g., price lists, etc.) is strictly prohibited.

 

Poster Presentation Kit

  • Each booth is approximately 9 feet wide X 3 feet deep X 8 feet high.
  • Each booth will consist of five (5) connecting vertical panels. Each panel is approximately 3 feet wide X 8 feet high.
  • Each booth will be equipped with five (5) upright standing surface boards, one (1) chair, one (1) table and one (1) electrical outlet.
  • Computers and other special equipment must be provided by the presenter.
  • If you are providing a computer for your poster, remember to bring your surge suppressor as well. An extension cord may also be necessary for your computer or other electrical equipment.
  • It is suggested that you have copies of your abstract or handout materials available for attendees, which should include author’s name, address, and phone/e-mail.

  • Transport your material to and from the Hyatt Regency Trinidad.
  • Assemble your display at least 30mins prior to, and tear down within 30mins after your respective Poster Session.
  • Focus your poster on technical content. Advertising and sales promotions in any form (e.g., price lists, etc.) is strictly prohibited.
  • Promptly remove all material within 30 minutes of the end of the poster session. You must not begin disassembly until the close of the session.
  • Secure the safety of your material before, during and after the poster sessions.
  • Provide your own materials to attach your display to the panels e.g., Velcro fasteners, masking tape, scotch tape, or white double stick tape. A limited supply of materials will be available at the GSTT Secretariat’s Desk centrally located in the Exhibition Area.

Guidelines for Extended Abstracts

Extended abstracts must adhere to the following criteria to assure consistent style in the abstracts volume.  Any not doing so will be returned to the author(s) for re-writing

Title Page

  • Title in bold, capitals for first word and proper nouns only
  • Authors’ names in normal font
  • Author affiliations in italics
  • Give author affiliations after all authors, in order
  • Give e-mail address for corresponding author only

Text & Figures

  • 1000 words maximum (excluding references)
  • Keep references to a minimum – only those needed for understanding
  • Times New Roman, 12 pt. throughout (including title)
  • 1.5 line spacing
  • Trinidadian (British) spellings throughout
  • Subheadings in bold
  • Should give sufficient detail of materials and methods that the study can be replicated
  • Number tables and figures in order
  • Figures single column width (115 mm wide)
  • No more than 2 figures or tables per extended abstract

 

There are no strict requirements on reference formatting at submission. References can be in any style or format but the style must be consistent. Author(s) name(s), journal title/book title, chapter title/article title, year of publication, volume number/book chapter and the pagination must be present. For books, give the publisher and city of publication.

 

It is our intention to produce a volume of abstracts for participants’ guidance during the conference.   Abstracts for posters will be included.  We also intend to produce a Transactions volume for this conference, and full papers will be included in digital format in the official Conference Transactions.

This promises to be a vibrant conference, and we look forward to meeting you in Port of Spain in May 2017.
